SaaS Trial Scorecard

Software trials are easy to start and hard to compare. This scorecard gives your team a repeatable way to judge two options against the priorities that actually matter to your work.

SaaS trial scorecard

Weight the criteria that matter most, then score two products from 1 (poor fit) to 5 (excellent fit). This is a decision aid, not a vendor rating.

CriterionImportanceOption AOption B
Workflow fitDoes the tool support the work your team actually does?
Adoption and onboardingCan the intended users become productive without heavy training?
Integrations and data flowDoes it connect cleanly with the systems you must keep?
Governance and securityDoes it meet the access, audit, and data requirements you need?
Total cost clarityAre seats, add-ons, implementation, and renewal costs understandable?
Support and reliabilityAre support commitments, documentation, and service expectations adequate?

Option B

The scores are tied. Recheck the criteria that carry the highest importance and use a trial task to break the tie.

How to use it well

  1. Choose a real workflow. Compare the tools using one task your team performs every week, not only a polished demo.
  2. Set importance before the trial. A five-person team may prioritize onboarding and cost; a regulated team may place governance first.
  3. Use evidence for each score. Save a link to a product page, support article, trial result, or vendor answer beside your internal scorecard.
  4. Test the highest-weighted criteria first. If an essential integration or permission model fails, a strong average score should not hide it.
  5. Recheck total cost. Include implementation time, mandatory add-ons, seat minimums, and renewal terms—not only the starting price.

Questions to ask vendors

  • Which plan includes the workflow, integration, or security control we need?
  • What usage limits, seat minimums, or add-on costs apply at our expected scale?
  • How is data exported if we leave, and what migration support is available?
  • What response times and support channels are included with our plan?
  • Which administrative and audit controls are available for our team?
