A useful software decision starts before a vendor demo. These guides help you turn a vague requirement into a shortlist that your team can actually test.

Start with the work, not the product category

Write down the recurring workflow that is failing today: who performs it, what information moves between people, what must be approved, and where delays or errors occur. A tool can have a long feature list and still be a poor fit if it does not support that workflow without workarounds.

Make a short, weighted requirement list

Separate requirements into non-negotiables and preferences. A non-negotiable might be SSO, a specific integration, a data residency requirement, or a budget ceiling. For the remaining criteria, set weights before you see a polished demo. That makes it harder for an attractive interface to outweigh an important operational constraint.

Run a trial that can fail

Use a representative task with real participants, sample data, and the permissions you expect to use after purchase. Check onboarding effort, reporting, data export, administrative controls, and the total price at your intended scale. Record the evidence behind each score so a colleague can challenge or reproduce the decision.
